Turn supplier invoice PDFs into reviewed pricebook updates

StockStart is a web application for contractor offices matching supplier invoices to a ServiceTitan pricebook. Extraction is the start: the useful output is a reviewed workbook, with item identity, units and cost checked before import.

What to upload

Start with your current ServiceTitan pricebook export and representative supplier invoices. The documented workflow accepts invoice PDFs, photos and spreadsheets. Use a legible complete document with the supplier, invoice number, line items and totals visible. Keep the original export untouched.

What to check after extraction

Example: why PDF-to-Excel alone is not enough

A line reads “2 boxes, 20 fittings per box, $60 per box.” The line total is $120, but an each-based pricebook needs $3 per fitting. Confirm the source's quantity and price basis before approval. A neatly extracted $120 in the wrong column is still a bad pricebook update.

Export after the review

Approve supported matches and hold unreadable or ambiguous lines. StockStart prepares updates in your own pricebook workbook for manual import. It does not connect to ServiceTitan to update records automatically.

Will OCR read every invoice perfectly?

No. Blurred images, folded pages and unusual layouts can produce uncertain values. Compare extracted fields with the source before approving them.

Is this a generic PDF-to-Excel converter?

The workflow is intended for supplier-item review against a ServiceTitan pricebook, not every PDF document or spreadsheet task.
